Reminder: Commission system migration –
What you need to know to prepare
We’re working behind the scenes to consolidate and streamline our commission payment systems. Once complete, you’ll begin receiving one combined commission statement for your Aetna and Coventry Medicare business, and you'll be able to access reports all in one place.
To accomplish this commission system migration, there will be some temporary disruptions to report availability, processing time for newly submitted contracts, and the commission payment schedule for new-to-Medicare enrollments only. You’ll see these impacts between mid-July and mid-August.
Take some time to review key dates and impacts to ensure you’re prepared
In late July, there will be an interruption to the payment schedule for new-to-Medicare Coventry enrollments (July 1 and August 1 effective dates). These payments will be included in the mid-August combined payout instead.
In early August, there will be an interruption to the payment schedule for new-to-Medicare Aetna enrollments. These payments will be included in the mid-August combined payout instead.
There is no impact to the regular renewal payout schedule for Aetna and Coventry enrollments.
On August 14, the first combined Aetna and Coventry commission payout will occur and any delayed payments for late July will be included.
There will be a temporary delay in processing new contracts submitted through Nomoreforms between July 20 and August 6.
Any new contracts submitted during this time will be temporarily place on hold. However, we will still proceed with ordering background checks and new state appointments, as applicable. Then, starting August 7, we will resume processing all contracts submitted during that interim period.
Please note: This delay will only affect new contracts. It doesn’t affect other types of contracting changes (i.e., hierarchy changes, demographic updates, etc.); those will be processed like normal.
Coventry Medicare reports will be unavailable on App Tracker from July 20 - August 5. If you need to access Coventry commission data during this interim period, please call the Aetna Medicare Broker Services Department at 1-866-714-9301 for assistance.
Starting August 6, Producer World will be the single source for Aetna and Coventry Medicare reports and commission detail. The existing Coventry-specific App Tracker reporting tool will close.
